Data policy

This policy sits beside our privacy policy and data processing terms. It says, in one place, what happens to each kind of data.

Where it is kept

• Our application, database and files are hosted on Amazon Web Services in Mumbai, India.
• Documents you ask the AI to read, and messages to the assistant, are processed by Anthropic outside India. Under Anthropic's commercial terms, they are not used to train its models.
• Emails you forward to your capture address pass through Amazon's email service in Ireland and are removed there within one day.

How long we keep it

• Documents uploaded for AI reading (proposals, agreements, decks): deleted automatically after 30 days. What you confirmed from them stays in your CRM.
• Business-card photos: deleted after 30 days, or sooner if your workspace sets a shorter time. The contact stays.
• Files you attach to records: kept until you delete them.
• CRM records (leads, contacts, companies, quotes, tasks): kept while your workspace is open. Deleted items stay in Trash for 30 days, then go for good.
• Security and audit logs: kept for at least one year.
• GST invoices and payment records: kept for as long as Indian tax law requires, at least 6 years.
• Database backups: daily copies are kept for about two weeks, then fewer older copies (weekly, monthly, and one a year for two years), then deleted automatically.

Who can see it

• Each workspace is kept apart from every other workspace.
• Inside a workspace, roles decide who sees which leads. Owners, admins and managers can export; for everyone else export is off until an admin turns it on.
• Our support staff can look at a workspace only to help with a request, read-only, for at most 30 minutes, and each visit is recorded in your audit log.

Getting your data out, or deleting it

• Admins can export the workspace's data at any time from Settings.
• The workspace owner can delete the workspace and all its data from Settings. We complete deletion within 30 days, except records the law makes us keep.
• Anyone whose details a business on Being Pillar holds can ask to remove their details.
